Roles and what each one can see
The five roles, what each unlocks, and why field staff deliberately never see pricing or pay.
Role is the single biggest decision when adding someone. It's changeable later from the Staff page, but it's worth getting right first time.
The roles
- Company admin — full access. Settings, billing, staff, every job and every invoice. Give this to owners and office managers.
- Manager — runs the work: jobs, the schedule, staff, clients and properties. Cannot see invoices, costs or pay rates.
- Finance — the money side: costs, invoices, exports and financial reports, plus read access to jobs so they can bill accurately.
- Field staff — the jobs they're assigned to. They can post updates, upload photos and move a job forward. They cannot see pricing, margins, other people's pay, or jobs they aren't on.
- Super admin — WorkLane support staff only. You won't assign this.
Why field staff can't see money
This isn't a display setting — the financial columns aren't sent to a field-staff session at all. It means you can hand an engineer a phone at a customer's kitchen table without worrying about what's on screen.
If an engineer needs to see what a job is being charged at — for example a supervisor quoting variations on site — make them a manager rather than trying to work around the field-staff restrictions.
Changing someone's role
- Go to Staff.
- Open the person's row and change the Role dropdown.
- The change applies the next time they load a page — they don't need to sign out.
