Staff details, certificates and documents

Keep tickets, certificates and right-to-work documents against the person they belong to, with expiry dates you can actually find.

Every engineer accumulates paperwork — cards, tickets, certificates, insurance. Storing it against the staff record means it's findable when a client audits you.

Step by step

  1. Go to Staff and open a person's record.
  2. Add their personal and emergency contact details.
  3. In the documents area, upload a file and give it a clear name — "Gas Safe card", "CSCS", "Public liability".
  4. Set an expiry date where the document has one. This is the bit people skip and regret.

Name documents by what they are, not what the file was called. "Gas Safe card — expires 03/2027" beats "scan_0012.pdf" every single time.

Finding what's about to lapse

With expiry dates set, you can see at a glance who's about to fall out of ticket rather than discovering it when they're turned away from a site.
